SharePoint Basics Part 5 : Columns, Site Columns & Content types
Columns
Columns describe the metadata of the content in the rows.
Columns help you create meaningful views of the items in a list or library.
By using columns, you can sort, group, and filter items, and you can also calculate data about items automatically and display the results of those calculations.
Columns also enable you to specify what information should be entered about an item when someone adds an item to a list or library.
When you create a list or library, certain columns, such as Title and Modified By, are created automatically.
Site Columns
Site column is the template having metadata of the column (column name, its data type and whether it has single/multiple lines), centralized and columns can be reused.
A site column represents a type of data, such as a telephone number, a comment, or the city name of a contact in a contact list.
Site columns are useful if your organization wants to maintain the same look of the list and libraries.
Whenever you attach any Site Columns to SharePoint list, a local copy of that site columns (i.e. as list column) will be created
SharePoint maintains the same unique identifier field for local copy of list column as well as for site column.
Content types
Content Types only holds the reference of Site Columns or fields but does not contain columns or fields itself. From a centralized point of view we can make changes in the attributes, it gives optional or required field or make it read only.
A content type defines the attributes of an item. An item can be a file, document, excel sheet, list etc.
Content type links the items with key metadata or a template.
E.g. Content type is used in engineering sites to refer the terms used in engineering as the attributes of the items in SharePoint
SharePoint allows you to create a reusable definition of settings and give it a name; this is called a Content Type.
Eg. of Contracts” and “Invoices”
